A store group is a store or a collection of stores. Groups are used to choose stores for reports and to decide which stores a user can see. A Client Admin (or a user with the Store Management feature) manages them under Settings > Store Management > Store Groups.
The list shows each group's Name, Type (Group or Subgroup), Parent Group, the Stores it holds and when it was last Modified. A subgroup sits inside a parent group. Use Search groups to find one. A group called ALL (every store you have) is normally already there.
Add a group or a subgroup
- Select Add Group (or Add Subgroup to put a new group inside an existing one).
- Type the Group Name.
- Under Stores, tick the stores to include. Select the arrow beside a group to open it.
- Select Create. If the name is blank or no stores are ticked, a red message tells you what is missing. Select Cancel to leave without saving.
Change or delete a group
Select a group to change its name or stores. To delete one, select the red bin icon at the left of its row. Deleting a group also deletes the subgroups inside it.
If users are assigned to the group you delete: a Reassign users window opens first. It says how many users are in the group and lists each of them, all ticked (Select all ticks or unticks the whole list, and the count above it shows how many are selected). Under Move them to, choose where they should go: any other group, a virtual group or a single store (the same list you use for Store group in Edit Users). Under it you see how many stores they have now and how many they will have. Select Reassign to move the ticked users, or Cancel (or the x) to leave without changing anything.
You can move a few users at a time. Untick the ones that should stay and choose a destination for the rest.
After Reassign, the people you moved leave the list and the window stays open with everyone who is left ticked again and Move them to back at its first choice. Pick a destination for the rest and select Reassign again, as often as you need, until the list is empty.
When no one holds the group any more, the window closes and the normal confirmation to delete it appears.
If someone is assigned to the group while you are working, the delete is refused and the window opens again, so no user is ever left without stores. Renaming a group does not affect the users in it.
To change the details held for each store, see Manage Store Information. To add a store you have opened or bought, see Adding New Stores to Management Toolbox.
