Client Admins can change what a user can see and do, or switch a user off. To bring in a new user, see Add a New User and Activate a New User. Open Settings > Users > Edit Users.
- Find a user with Filter users (the fastest way) or by sorting a column heading. Deactivated users are grey.
- Use the Inactive | Locked | All switch beside the search to narrow the list: Inactive shows users who are not activated yet, Locked shows users who are locked out after too many wrong passwords, All shows everyone. It works together with the search.
- Select Save as my default to make the page open on the choice you have picked. The button is greyed out while your choice is already your default. You can also set it under Preferences (see Your Preferences (Profile and Settings)).
- Switching the filter takes effect at once. The list loads every user, so with many users it can take a few seconds the first time.
Change a user
- Select the user's row. Their details open on the right.
- Select Edit.
- Change what you need (see below).
- Select Save to keep your changes, or Cancel to discard them. Saving shows a short User saved successfully message and updates the row where it is: the page does not reload and your place in the list is kept.
| Field | What it is |
|---|---|
| First name, Last name, Email, Phone | The user's details. The email address is where the user receives messages from the system. |
| Store group | Which stores the user can see. < ALL GROUPS & STORES > gives access to every store, including stores added later. |
| Features | What the user can open. See Features and Store Groups Explained. |
| Comment | A note for your own use. It also shows on the Delete Users page. |
| Activated | Switch on to let the user sign in; switch off to deactivate them. A newly activated user is sent an email. |
| BAID, Company name | Used for fleet customers of Clear Billing Solutions. Leave these as they are unless support asks you to change them. |
Manage a user's passkeys
If passkeys are switched on for you, a fingerprint icon in the user's row (Manage passkeys) opens that user's passkeys, so you can help someone who lost a device. You only see it for users you are allowed to manage.
Open a user from a link
When someone registers, administrators receive an email with an Open this user to activate button. It opens Edit Users showing only that user, with their details already open for editing. Select Show all users to go back to the full list. See Activate a New User.
Deactivate or reactivate
The Edit Users and Delete Users columns keep a minimum width and scroll sideways on a small screen instead of cutting text off.
To stop someone signing in (for example when they leave), open them, select Edit, switch Activated off and save. They are kept, so you can switch them back on later. To remove them completely, see Delete a User.
